Short leadtime for multitent installation

A large corporate event required Aztec Rental to provide an installation that was smooth and efficient—and quick.

A client needed nearly 20,000 square feet of tenting, and they needed it fast. Virginia-based Aztec Rental, with locations in Salem, Blacksburg, Lynchburg, and Smith Mountain Lake, was contacted on April 3, 2018, with a request for tents and additional event rentals for a corporate event to celebrate the acquisition of Rowe Furniture of High Point, N.C., by Markor International Home Furnishings Co.

The event date? April 23. No problem.

Aztec Rental main contact for the event was Blue Ridge Catering of Roanoke, Va., a company with which Aztec has a solid working relationship.

“We partner quite frequently with them on events, and as such, they had confidence in our abilities and felt comfortable relying on our expertise and ability to handle all aspects of the tenting and other rentals,” says Aztec Rental party manager Lori Moye, CERP. The big challenge for this installation, in addition to the short timeframe, was that the event kept growing, Moye says.

“This resulted in the need for more and more tenting,” she says. “Because no staking was allowed, we could only utilize our frame-style tents, and the largest we carry is 40 by 100, many of which were used out of town at events earlier in the week and thus had to be quickly disassembled and transferred to use at this event. We ended up doing multiple site visits to configure how best to use our frame tent inventory to provide the square footage needed to house the event.”

In the end, Aztec Rental installed 10 tents ranging from 9 by 20 feet to 40 by 100 feet, guttering between the tents, and also provided hundreds of feet of sidewall, plus chairs, tables, lighting and linens. With the event taking place in the company’s main parking lot, Aztec used Block and Roll® concrete ballasts to secure all the tents. The business also had an 18-foot-high awning structure that it wanted to have covered, which Aztec accomplished using a rope-and-pulley system to install a marquee by Anchor Industries Inc. over the top.

“Our crew of eight started at noon on the 20th and completed setup at 5 p.m. on the 21st,” Moye says. “Fortunately, as our busy season runs from April until November, we did not have any other large orders on the books for that particular weekend and were able to schedule most of our staff to work on this event. To ensure a smooth and efficient install, we did a detailed layout of the placement of the tents prior to the delivery.”

The weather cooperated too, with only some mild rainfall for the crew to contend with. “The event went off without a hitch,” Moye says. “The client was thrilled, impressed and the feedback we received was all positive.”
