Party Track has been helping tent rental, linen rental, and full-service party equipment rental companies manage their business since 1995. Many changes have been incorporated over the past 27 years without losing focus on our primary focus, managing order processing and managing inventory.
Order Processing & Inventory
Creating an order is easy. You can choose to manually create the order, copy the entire order from previous orders, or import the information directly from your website using our Web Import service. When creating the order, you will immediately know if any items being ordered are overbooked. Overbooked items are displayed in Red, and you have the option to review what orders are causing the overbooking. The quantity owned, quantity rented, and quantity short will also be shown for every overbooked item. Clean-up days (when returned items are scheduled to be cleaned and returned to inventory) are considered when an item is overbooked.
Items added to an order can be individual items, packaged items, or kit items. A kit item is any order such as a tent, which requires various kits (components) to build, such as poles and fabric. Overbooking for a kit item will be shown at the component level, showing which component is causing the overbooking.
Items can be sub-rented (rented from a third-party rental company) or purchased to resolve the overbooking.
In addition to seeing which items are overbooked when creating the order, you can also look into the future to see what items are overbooked for any date range. The following Overbooked Inventory screen shows the overbooked items and can be expanded to show which orders are impacted by the overbooking.
To assist in managing orders and customer expectations, we have a busy calendar which allow you to set parameters such as the number of deliveries, and the number of tents being delivered. When these parameters are met, the day on the calendar is highlighted in Yellow with the text “Review”. Click on this day shows you all of the deliveries being made on that day. You have the option of opening orders from this screen and modifying the delivery date or other information. If you cannot change anything, you can mark the day as busy which will change the highlight to Red and the text to Busy. When this is done, any new orders being created with this delivery date will warn the sales person that this date is marked as busy.
As an event rental company, your business often requires signatures between you and your clients and vendors. Party Track facilitates this process through our eSignature feature, which enables remote signatory. On the Party Track software, you define which documents for which you require signatures. You can then send them out to your clients for them to sign. This eSigning function prevents you from having to meet physically or deal with cumbersome paper documents. Once concluded, Party Track stores the signed copy on your network, and you can access it directly from the order screen.
